WHO WE ARE

WHAT THIS NOTICE COVERS
This notice covers the personal data we collect when you download a free resource from us, subscribe to our emails, or contact us through this website. It does not cover data we process on behalf of a client under a consultancy contract, which is governed by that contract.
WHAT WE COLLECT
When you request a free resource such as the FSMS Readiness Check we collect your email address; the date and time you submitted it and which page you submitted it from; and whether you subsequently open or click our emails. We do not ask for your name, your employer or a telephone number, and we do not require them. If you email us or book a call, we hold whatever you choose to send us in that message.
WHY WE COLLECT IT AND OUR LAWFUL BASIS
To send you the resource you asked for. Lawful basis: performance of a contract at your request, or consent.
To send you follow-up emails about functional safety and about our FSMS document packs. Lawful basis: consent, which you give by submitting the form, and which you can withdraw at any time.
To understand which emails are useful. We look at open and click data in aggregate so we can write better emails and stop sending ones nobody reads. Lawful basis: legitimate interests, being our interest in improving what we send you, balanced against the limited and non-intrusive nature of the data. We do not sell your data. We do not share it with anyone for their own marketing.
WHO PROCESSES IT ON OUR BEHALF
We use one supplier, acting as a processor under contract. ClickFunnels (Etison LLC, United States) hosts the page and the form and stores our contact list. Because it is outside the UK, your data is transferred internationally. That transfer relies on the UK International Data Transfer Addendum or equivalent safeguards in the supplier's terms.
HOW LONG WE KEEP IT
We keep your email address until you unsubscribe, or until you have been inactive for two years, whichever comes first. After that it is deleted from our list. If you unsubscribe, we keep a minimal suppression record so that we do not email you again by accident. That record contains your email address and nothing else.
COOKIES
The pages hosted by ClickFunnels set cookies that are necessary for the form to work and to record that you have already opted in. We do not use advertising cookies and we do not run retargeting pixels on our opt-in pages.
YOUR RIGHTS
Under UK GDPR you have the right to ask what personal data we hold about you and get a copy; have inaccurate data corrected; have your data deleted; object to processing or ask us to restrict it; withdraw consent at any time, which will not affect anything we did before you withdrew it; and ask for your data in a portable format. To do any of these, email richard.kelly@roakengineering.com. We will respond within one month. Every marketing email we send has an unsubscribe link at the foot of it. One click and you are off the list. You do not have to give a reason.
COMPLAINTS
If you are unhappy with how we have handled your data, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113.
CHANGES TO THIS NOTICE
If we change how we handle your data we will update this page and change the date at the top.
